Approval comes before convenience

A file may be easy to encrypt yet still belong in an approved records system rather than a personal archive. Check your organization's device, access, retention, backup and incident-reporting requirements before importing professional material. This page does not establish compliance, a contractual safeguard or suitability for regulated records.

When you only need to review a file temporarily, consider whether the approved system already provides the necessary access. Avoid creating an extra copy without understanding who will maintain and eventually remove it.

If a local working copy is permitted

Define the allowed contents, destination, recovery arrangement and export path. Encrypted app-managed storage addresses one boundary. Automatic lock limits the active session. Secure export creates a readable copy outside the vault that must follow the same approved handling process.

A consumer vault does not, by itself, provide your organization's access review, audit trail, retention controls, legal holds, or clinical record workflow. Do not infer those capabilities from an encryption algorithm name.

Practical checks

Use non-sensitive samples when evaluating PDF edits or redaction. Review the actual output, including every page and relevant metadata.
